Call, leave and allocations data can be extracted from HosPortal and distributed to relevant users or external parties (such as other departments, the switchboard, or unit managers) at specified times.
Many hospitals use the automated transmission to, for instance, send the next week's roster to a switchboard at the end of the prior week, or send the next day's latest roster to people who need to know at the end of the prior day.
Scheduling Automatic Roster Export
To set up the automatic export of roster data, go the the "Admin" page (A) an click "Alerts" (B):
There are a number of alerts options available here. First select the relevant option (C: "Send a list of call at a particular time") and then "Add" (D).
You will then need to adjust the date range, recipients, and time you would like the data to be sent. You can also select which groups you want to be applicable (G); this will export the data only for the selected rosters.
Recipients can be current HosPortal users, or you can enter any email address for "others" who do not have a HosPortal account. You can add any number of recipients (E):
Finish by selecting "Save".
Manually Exporting Roster Data
The Call, Allocations and Leave pages have an option to "Export" (G):
Adjust the date range and relevant rosters and hit export. A file will be immediately downloaded corresponding to the data currently presented on your screen.
