It is often useful to be able to chase up users who have not acknowledged their on-call reminders.
You can set these alerts as described here.
How "acknowledgement" works
If users are sent an email or voice-call reminder, you can be notified if they have not acknowledged it. You cannot get an alert in response to an email reminder.
The acknowledgement is recognised by HosPortal by:
- For a voice reminder: if someone answers the phone.
- For an SMS reminder: if someone sends any SMS response.
HosPortal does not capture the voice response to a voice call, nor the details of any message responding to a SMS reminder. Only that someone has acknowledged the message.
For example, a usual SMS reminder message is:
Hosportal Call reminder: [on-call name] @ [hospital name] - [date and time of on-call]. Please reply Y to confirm you have received this message.
If different recipients respond "Y", "N", "I will be late" or "I cannot make that shift" then they will all be recorded by HosPortal as having received and acknowledged the message.
When is the alert sent?
An alert is sent half way between the reminder and the time the shift is due to start. For example:
|If the reminder is set at...||An alert will be sent by HosPortal if
the acknowledgement has not been
24 hours before the shift starts
|12 hours before the shift starts|
7 days before the shift starts
|3.5 days before the shift starts|
08.00, for a 18.00 shift (i.e. 10 hours before)
|13.00 (i.e. 5 hours before)|
Each reminder works independently: if you set multiple SMS reminders for a shift, an administrator may receive multiple alerts. For instance, if someone acknowledges a reminder 7 days before a shift but not a reminder send 24 hours before, you will still be sent an alert for the second reminder.
